Introduction
At a leading company in the Industrial Seals sector, Blue BI managed a KPI Management project, yielding satisfactory results for the client.
Context
Initially, the company relied on various Excel files with highly customized structures and manual processes to generate meaningful company KPI values. Specifically, individuals from the Sales & Marketing department were involved in the process. All data was manually inputted and calculated, managed graphically within Excel, to produce a historical documentation of company KPIs and appropriate snapshots at different times of the year.
Objectives
Within this context, the company recognized the need to utilize BI tools for the described purposes, replacing manual processes in Excel. Leveraging its expertise, Blue BI proposed Qlik Sense technology supported by a SQL-Server Data Warehouse (DWH) and a customized web tool managed in JavaScript to allow user-friendly database interaction. The objective was shared and appreciated by the client, who was guided by Blue BI, resulting in satisfactory outcomes. Blue BI implemented the best strategy to transition the client to BI systems from previously manual tools, simplifying internal processes while considering client habits and enhancing operational efficiency.
Solution
The solution involved a web tool for users to input relevant company KPI data. Since some KPIs were calculated based on others, users only needed to input essential data, and the tool with appropriate procedures would automatically calculate the KPIs and accompanying information. This solution ensured correct results while reducing manual processes.
User-entered data was stored in appropriate tables within the SQL-Server DWH, where procedures were constructed for automatic data manipulation. Qlik Sense was utilized to build an app that reads the data (raw and calculated) from SQL-Server, allowing users to navigate and analyze comprehensive data. Security measures were implemented to define user roles with varying data access and modification permissions.
Data Collection
The tool inserted data into the appropriate DWH tables, managing KPI, company, and plant records. Users only needed to manage dimensions dividing data according to business needs. This approach showcased Blue BI’s adaptability to client dynamics by offering a customized web interface, streamlining the entire process.
A page was dedicated to inputting single KPI values detailed by declared dimensions, with a monthly temporal detail chosen for this project.
Lastly, there is a page to input data values for individual KPIs, detailed by the declared dimensions. The chosen temporal detail for this project is a monthly breakdown.
Examples of data collection:
“Within the DWH, through the appropriate procedures, the data is managed and calculated based on the data model and the front-end.”
Data model
The data model is built using the data obtained from the tool and the necessary information to manage data selection and permissions. Each user can have personalized visibility of various dimensions and different permissions to add or modify data.
Data Visualization
The visualization, analysis, and data navigation are managed on Qlik Sense through several apps, where again, an appropriate data selection is applied based on user needs.

Conclusion
The project provided the client company with the opportunity to enhance data visualization, eliminate many manual processes, and improve data control and the accuracy of business KPI analysis, with positive effects on strategic decision-making. From a process speed perspective, there was a 77% improvement, as users could leverage many automations that were previously manual steps. This data indicates time and energy savings for even more accurate analyses. Thanks to the project led by Blue BI, users have the ability to read and manage business KPI data more efficiently and automatically.
